So, you’ve decided on a destination wedding! As a destination wedding travel agent who lives and breathes Mexico and the Caribbean, I’m the first to say: YES, destination weddings are amazing! But let’s sprinkle in some reality—just because you’re in paradise doesn’t mean you’re immune to mishaps. I hate to tell you this, but the storybook, Hollywood depiction of a picture-perfect, hiccup-free celebration just isn’t reality. This post is your honest, tough-love survival guide for handling those “oh no” moments and making the most of your big day, whatever comes your way.

Planning Ahead For Any Crisis During Your Destination Wedding

Real talk: no matter how beautiful the beach or bougie the resort is, things can go sideways on any trip, especially one for your destination wedding. I’m talking rogue weather, lost luggage, or the ever-dreaded ghosting vendor. When planning ahead for your destination wedding in Mexico or the Caribbean, the goal isn’t perfection; it’s preparation. That’s why working with a destination wedding specialist like me is key. In my over ten years as a destination wedding travel agent, I’ve seen it all, and I know how to pivot calmly when things get weird. I’ve learned that preparation, flexibility, and a calm mindset are truly your secret weapon.

Tropical forecasts are sporadic and extreme but not always accurate, so don’t freak out at the first swirling cloud you see. If a real hurricane is headed your way, here’s your game plan:

  1. Contact your resort/planner about their hurricane policy. Many have full refund or reschedule options.
  2. Check your travel insurance (I ALWAYS recommend buying travel insurance). An insider tip: your insurance has to be purchased before the storm is named.
  3. Communicate with your guests. Your tone sets the tone for the guest, so try to remain calm.
  4. Consider rescheduling by a few days if the storm track shifts…be flexible with your plans.

Okay, not an ideal situation, but here’s what you can expect. Resorts will lock down and have you shelter in place, think board games and storm snacks, not beach yoga. Internet and power might drop, and airports close, so be prepared for a longer stay.

Resort staff are usually hurricane experts and are well-trained and efficient in safety drills, and well-communicative. Keep in mind that if a hurricane occurs during your destination wedding, it won’t be the wedding you dreamed of, so breathe and lean on your vendors. The goal is safety, and most resorts will follow their dedicated hurricane preparedness plans, no matter if it’s your wedding day or just a day at the beach.

While having your destination wedding during hurricane season is not encouraged, I get that it is kind of unavoidable with hurricane season taking place six out of twelve months of the year. Here are some tips to help ease the stress when planning a wedding during hurricane season.

  1. Book resorts with backup indoor venues
  2. Read and review all cancellation policies
  3. Buy travel insurance EARLY, don’t wait until it is too late
  4. Consider lower-risk spots like Aruba or Costa Rica
  5. Mentally prep to pivot and be flexible with your plans

Pro tip: Buy travel insurance before the storm is named. It’s not retroactive.

Lost Wedding Dress? Vendor Drama? Guest Mishaps? Here’s What to Do

Your dress deserves VIP treatment! I recommend calling the airline in advance to ask about closet space on board your flight. Also, call the resort in advance and confirm they have a steamer, or bring your own. NEVER check your wedding dress in checked baggage.

Resort-recommended vendors are often less risky and more reliable as they are backed by and referred by the resort. Outside vendors can mean no-shows, language barriers, or surprise fees. My advice? Stick to vetted vendors, always get contracts, and let your coordinator handle the day-of chaos.

From forgotten meds to ATV mishaps, guest drama happens. Prevent panic by sharing a packing list in advance, pushing travel insurance, and knowing the nearest clinic. I am here to help you wrangle your guests and ensure they have a smooth and safe trip.

Travel Insurance For Your Destination Wedding

When speaking with all of my destination wedding clients, whether they are getting married in Mexico, the Caribbean, or beyond, travel insurance is a NON negotiable! Coverage includes medical mishaps, lost luggage, trip interruptions, and even inclement weather. Pro tip: Buy it as soon as you put down your first deposit and cover the entirety of your trip, not just your wedding day. Be Ready, Be Prepared & Get Married

You can’t control everything at your destination wedding, but you can be ready for anything. Remember, honest planning, a solid vendor team, clear communication, and good insurance are your best friends when planning ahead for any crisis during your destination wedding. Ready to plan your dream destination wedding (and every possible backup plan)? 💬Destination Wedding Disaster FAQs (and How to Handle Them)

What happens if a hurricane hits during my destination wedding?

Resorts have solid emergency plans in place—think shelter-in-place protocols, storm snacks, and lots of communication. Your ceremony might get postponed or moved indoors, but safety comes first. Most resorts offer flexible rescheduling, especially if you’ve got travel insurance (which you 100% should).

Should I get travel insurance for my destination wedding?

Yes. Yes. And did I mention—YES? It covers delays, cancellations, medical issues, lost bags, bad weather… and peace of mind. Just make sure to buy it before any storm is named or issues pop up. I can walk you through your options.

Can I bring my wedding dress on the plane?

Absolutely—and please don’t check it. Call the airline ahead and ask if there’s closet space in the cabin. Some flight crews will hang it for you. Also: bring a travel steamer, or make sure your resort has one on-site.

What if a vendor ghosts me on wedding day?

This is why I recommend using resort-vetted vendors. If one drops the ball, the resort coordinator can help cover the gap. With outside vendors? It gets trickier. Always get a contract and have a Plan B (which I help you build).

How do I handle guest emergencies at my destination wedding?

From forgotten prescriptions to too many mojitos before the ATV tour—guest drama happens. Prep ahead: give them a packing list, encourage travel insurance, and know the nearest medical clinic. And if you work with me? I field their freak-outs so you can sip your margarita in peace.

Still feeling a little “what if”? That’s totally normal. Destination weddings come with a few curveballs—but that’s where I come in. I’ll help you plan the dream, prep the backups, and keep your inbox from melting down. Ready to make this official (and way less stressful)?
