Destination Wedding Travel Agent vs. Resort Wedding Coordinator

July 10, 2025

A destination wedding travel agent manages all travel logistics and guest arrangements, while a resort wedding coordinator focuses on the on-site details of the wedding day. Together, they ensure both the journey and the celebration are expertly planned and executed.

I'm kathryn potter!

I’m an ocean-obsessed Midwesterner who’s personally checked out over 200 resorts (so you don’t have to) and runs a travel agency specializing in all-inclusive vacations and destination weddings.

My signature accessory? Dog hair. My love language? Witty sarcasm. I’m also a sucker for street tacos and a good spicy margarita. And no matter how hard I try, I just can’t quit the Real Housewives. Don’t judge.

Planning a destination wedding is an exciting undertaking, but it can also feel overwhelming without the right support. As a destination wedding travel agent, my role is to ensure the entire travel and accommodation experience is seamless for you and your guests. In contrast, the resort wedding coordinator focuses specifically on the details of the wedding day at the venue itself. While both roles are essential, they serve very different purposes. I want to share what the difference is between myself and a Resort Wedding Coordinator so that you can plan your destination wedding confidently and with all the support possible.

Evaluating the Differences between a Destination Wedding Travel Agent vs. Resort Wedding Coordinator

A destination wedding travel agent manages all aspects of travel and pre-event logistics. This includes assisting couples in selecting the destination and the all-inclusive resort that aligns with their vision and budget, managing group room blocks, handling guest bookings and payments, negotiating group perks, and coordinating travel for pre-wedding site visits for the couple. The travel agent also supports group activities, excursions, and post-wedding plans such as honeymoons, while serving as an advocate should any travel-related issues arise. My job is to make sure that the travel planning and resort planning leading up to your wedding are seamless and stress-free. I am there to help YOU, think of me as your travel BFF!

In contrast, the resort wedding coordinator is employed by the resort and is responsible for the wedding day itself. This includes overseeing the ceremony and reception setup, managing local vendors approved by the resort, ensuring the timeline is followed, and coordinating catering and décor according to the resort’s packages. Their involvement typically begins two to three months before the wedding, with a focus solely on the events taking place at the resort.

A destination wedding travel agent provides comprehensive support from the initial planning stages through to the conclusion of the wedding trip. This includes managing all travel logistics, securing upgrades, and ensuring guests have a positive experience. The resort wedding coordinator focuses on the resort’s services and ensures that the wedding day proceeds smoothly according to the resort’s offerings and policies.

The Importance of Having a Destination Wedding Travel Agent AND A Resort Wedding Coordinator

While a resort wedding coordinator ensures that the wedding day is well-managed at the venue, a destination wedding travel agent ensures that every guest arrives safely and comfortably, and that the overall experience, from booking to departure, is handled professionally. Together, we will provide the full support necessary to plan and execute a successful destination wedding in Mexico, the Caribbean or beyond!

If you are considering a destination wedding in Mexico (or elsewhere), partnering with both a destination wedding travel agent and a resort wedding coordinator will help ensure a truly seamless and enjoyable event.
