Signing your wedding contract is one of the most exciting milestones in planning your destination wedding. Your date is officially reserved, the deposit is paid, and for a brief moment it feels like you’ve checked the biggest item off your to-do list, until your resort wedding coordinator says, “Now you’ll want to work with a travel agent for your room block.”

Cue the confusion.

This is exactly where most of my couples find me. They already have their resort picked out and their wedding contract signed, but they’re wondering what comes next. My job is to take over everything related to your guests’ travel so you don’t spend the next year answering the same questions over and over or accidentally making an expensive mistake with your room block.

How A Destination Wedding Travel Agent Helps You After You Sign Your Wedding Contract

Here’s what the process actually looks like after you sign your wedding contract

The first thing I do is request your room block quote from the resort, this usually takes anywhere from one day to one week. Once the quote is approved, the resort prepares the official room block contract using the inventory available for your wedding dates, which typically takes another week. Most couples have their room block finalized about two weeks after contacting me.

That timing matters more than most people realize. Popular dates can sell quickly, and locking in your room block sooner gives you access to better room availability and pricing before inventory starts disappearing.

I’ll let you in on a little industry secret. Travel agents love saying we “negotiate” room blocks, but in reality there usually isn’t a dramatic back-and-forth over pricing.

The biggest value isn’t negotiating lower rates, it’s making sure you understand the contract you’re signing.

There are occasionally opportunities to improve the terms. For example, some resorts increase the required deposit once your room block exceeds 30 rooms. In those situations, I’ll often work with the resort to reduce that deposit. More importantly, I know what’s standard, what’s flexible, and what questions to ask before you sign.

Once your room block is signed, I create your personalized wedding website.

This becomes the one place your guests need to visit for everything related to travel. They can view available room options, choose their travel dates, and submit their reservation request without needing to involve you.

That means you’re not answering annoying questions from your guests like “Which room should I book?” or “How much is the deposit?”. Instead, those questions come directly to me.

This is where couples often tell me they finally feel like they can enjoy being engaged.

Every guest works directly with me to choose the best travel dates, room category, and reservation options for their budget. When they’re ready, they complete a secure payment form through my website. I process those payments directly with the tour operator holding your room block and I answer all of your guests’ travel questions.

I intentionally limit my business to just 20 destination wedding couples each year because it allows me to provide same-day or next-business-day responses. Your guests receive the level of service I’d expect if I were attending a wedding myself.

This is the part almost nobody talks about. Every room block comes with deposit deadlines and attrition dates. If those deadlines aren’t managed correctly, you, not the resort, can end up financially responsible for unused rooms.

Most room block deposits start around $100 per room, and attrition deadlines usually begin four to five months before travel. Unfortunately, those contracts often include multiple deadlines with different percentages and penalties, making them incredibly confusing.

I’ve seen plenty of couples managing their own room blocks focus only on the final deadline while completely missing the earlier ones.

The result? They’re suddenly posting online trying to sell extra rooms because they didn’t realize penalties had already started.

My goal is to make sure that never happens. I monitor every deadline, ensure guests are paid before attrition begins, and release any unused rooms before penalties apply. You don’t need to learn how to interpret a complicated contract, that’s my job.

Booking the trip is only half the job. As your wedding approaches, your guests receive a series of helpful emails designed specifically for your resort. 

They’ll learn everything from restaurant dress codes to tipping recommendations and even packing suggestions. Guests regularly tell me these emails are one of their favorite parts of working with me because they arrive feeling prepared instead of overwhelmed.

Before departure, everyone also receives detailed travel documents that include flight information, airport transfers, resort information, and your wedding itinerary.

Nobody lands wondering how they’re getting to the resort. Transportation is already arranged and communicated.

The Biggest Surprise Couples Don’t Expect

One of the biggest mistakes I see happens before guests even start booking. Couples tell everyone, “We’re getting married at this resort, just book however you want.”

It sounds simple, but it creates several problems. Guests book through different websites, use different travel agents, book different dates, or occasionally even reserve the wrong resort. Then your wedding coordinator asks for a rooming list…and nobody has one. Even more importantly, many wedding contracts require the majority of your guests to stay at the wedding resort. If they don’t, guests may have to purchase expensive day passes just to attend your ceremony or reception.
